Editorial Policy on the Use of Artificial Intelligence (AI)

Artificial Intelligence Policy

General Provisions

The use of artificial intelligence shall be understood as any use of generative tools to produce, reformulate, reorganise, translate, summarise, expand or modify textual, graphical, methodological or analytical content within a manuscript, even when such outputs have subsequently been edited or reformulated by the author.

Sincronía recognises the value, advancement and usefulness of these tools in academic activities. However, the journal establishes that authorship of manuscripts belongs exclusively to human beings.

Under no circumstances shall artificial intelligence be considered a co-author, nor may it be credited as an author in any publication.

The use of artificial intelligence shall be limited to technical support functions and shall not replace the critical capacity, scholarly analysis or academic interpretation of the authors.

Authors shall be fully responsible for verifying the authenticity, existence and accuracy of all references, DOI identifiers, citations, data, translations and statements contained within a manuscript, regardless of whether such elements were generated or assisted by artificial intelligence tools.

The use of artificial intelligence does not replace the intellectual, critical, methodological, interpretative or argumentative responsibility of the authors.

All submissions shall be subject to review through specialised systems, and the editorial team shall determine the appropriateness and validity of the use of such tools.

Mandatory Disclosure

Authors who have used artificial intelligence tools during the preparation of a manuscript, or who have not used such tools, must explicitly declare this and submit the corresponding statement together with their manuscript.

The declaration must be submitted as a PDF document bearing a handwritten signature (digital or image-based signatures shall not be accepted) and shall include the following information:

  • The purpose for which artificial intelligence was used (e.g. language editing or translation).
  • The tool used (name and version).
  • The scope of its use (which stages of the work were supported by artificial intelligence).
  • A statement confirming the authors’ exclusive responsibility for the originality, validity and accuracy of the content.

Declaration Templates

For Authors Who Did Not Use Artificial Intelligence Tools

“The authors declare that no artificial intelligence tools were used in the preparation of this manuscript. All ideas, interpretations, results and conclusions are the sole responsibility of the authors, who guarantee the originality and academic validity of the content.”

For Authors Who Used Artificial Intelligence Tools

Authors who used artificial intelligence tools must provide a detailed description of such use, following the model below:

“The authors declare that, during the preparation of this manuscript, artificial intelligence tools were used in the following manner:”

TOOL OR APPLICATION USED USE SECTION PROMPT / INSTRUCTION
ChatGPT-5 Style and clarity editing Introduction “Review the clarity, coherence and fluency of the following academic text. Do not add arguments, citations or references that are not present in the original.”
ChatGPT-5 Academic language refinement Conclusions “Convert this text into a formal academic style while maintaining exactly the same content and meaning.”
DeepL Preliminary translation Summary / Abstract Initial Spanish–English translation for subsequent review and validation by the authors.
Grammarly Linguistic correction Complete manuscript “Identify spelling, grammatical and punctuation errors while preserving the document’s argumentative structure.”
LanguageTool Style review Complete text “Suggest improvements in readability and linguistic consistency without altering the academic content.”

Therefore, we assume full responsibility for the use of these tools and for any consequences arising from such use.”

Ethical Responsibility

Authors shall ensure that the use of artificial intelligence has not involved:

  • Plagiarism or misappropriation of content.
  • The generation of false or manipulated data.
  • The generation of content (including abstracts, discussion sections, conclusions, or any other substantial part of the manuscript).
  • The disclosure of sensitive or confidential information.
  • The reproduction or amplification of discriminatory biases.

Permitted Uses

The use of artificial intelligence tools is permitted for:

  • Language editing.
  • Improvement of syntax and grammar.
  • Adjustment of tone and style.
  • Harmonisation of the manuscript’s structure.
  • Linguistic review and proofreading.
  • Translation of abstracts.

Prohibited Uses

The following uses of artificial intelligence are strictly prohibited:

  • Content generation.
  • Data fabrication.
  • Citation simulation.
  • Generation of research results.
  • Simulation of interviews.
  • Fabrication of analyses.
  • Creation of fictitious or non-existent references.
  • Replacement of critical thinking and scholarly judgement.

The use of artificial intelligence tools for spelling correction or minor stylistic adjustments shall be considered acceptable. However, substantial reformulation, comprehensive rewriting or automated generation of arguments within a manuscript may be regarded as a significant intellectual intervention and shall be subject to assessment by the editorial team.

Non-Compliance

The deliberate omission or falsification of information concerning the use of artificial intelligence tools may be considered an ethical breach and may result in editorial rejection, retraction of published works or notification of the relevant institutional authorities.

Evaluation and Review of Manuscripts

The use of artificial intelligence tools during the evaluation or peer-review process of a manuscript is strictly prohibited. Any use of such tools by reviewers may result in the invalidation of the review report, as it shall be considered a breach of authorial confidentiality and of the integrity of the peer-review process.
